GUEST SERVICES COORDINATOR | ALLIANCE REDWOODS

Alliance Redwoods is an Alliance conference center in Northern California seeking a hospitable guest services coordinator.

Alliance Redwoods is a Christian and Missionary Alliance conference center in Northern California operating year-round, serving approximately 55,000 guests a year, with an annual budget of about $10M+. ARCG is comprised of three ministries: Camps and Conferences, Sonoma Zipline Adventures, and Outdoor Education.

Purpose Statement

To serve and provide exceptional hospitality to guests. Ensure ARCG is ready to meet the needs and requests of all groups.

Description of Responsibilities

• Assume the role of primary contact with group leader upon completion of contract through sales
• Coordinate with Sales Team regarding contract details and changes
• Perform ground tours for guests after they have booked a contract
• Record all group requests in Microsoft Access database, including meeting room setups, linens, special menu, snacks and beverage, food service, programmed activities, reserved spaces and any special needs
• Coordinate group requests with all ARCG teams using database, email, phone, radio and weekly meetings. Ensure ARCG is ready to meet the needs and requests of all groups upon arrival and throughout their stay
• Meet and greet the group leader upon arrival. Collect all necessary paperwork on arrival and throughout stay
• Resolve customer service issues and group conflicts during groups stay
• Respond to emergency situations on camp, following emergency procedures
• Assist in managing and training the Front Desk Team
• Consistently cover 16-24 hours per week of Front Office shifts. Front Desk duties include opening and closing office, assisting guests in person, answering phones, running gift store register, brewing coffee, restocking gift store, basic cleaning, providing First Aid care to guests
• Lead projects and process improvements to better meet guest needs and department goals as assigned
• Other duties as assigned

Skills, Knowledge, and Abilities

• Knowledge of Microsoft Word, Excel, Publisher, Access, Outlook, and ability to learn new programs quickly.
• Minimum 40 WPM
• Ability to perform general office skills: phone, fax, email, copier, scanning, and filing
• Positive verbal and written communication skills both on the phone and in-person Ability to work in an interruptive environment
• Ability to maintain multiple projects at a time
• Ability to work early mornings (6 am) and/or late evenings (11 pm)
• Strong organizational skills with the ability to organize daily work for self and others • Ability to work constructively with a team
• Manages change with flexibility and adaptability
• Ability to assess First Aid situations, and provide comfort to both adults and minor

Requirements

• Education: High School degree, AA, or BA preferred
• Experience: At least 2 years experience in guest services at a Christian camp or like business desirable
• English Speaking – multilingual helpful
• Willing and able to be First Aid and CPR Certified
• Valid Driver’s License
• Must pass a background check to be eligible for employment
• Requires that you are a professing, growing follower of Christ
